Privacy Statement
The Canadian Federal government has implemented the Personal Information Protection and Electronic Documents Act (PIPEDA), which provides guidelines on how personal information is collected, used, and disclosed. In addition, British Columbia has passed legislation governing the collection, use or disclosure of personal information.
This Privacy Policy sets out how we handle data, including how we collect, store and use personal data, our legal basis for processing your personal data, and information on transfers to third parties. This version has been updated to reflect the strengthened rights of individuals under the General Data Protection Regulation (GDPR), to make it easier to understand and to provide more fairness and transparency to you by making additional information available.
CareerWorks Consulting collects personal information about individuals for the sole purpose of scoring your assessments, which ultimately provides you with a service that meets your needs and expectations. All assessments are scored either by CareerWorks Consulting, Psychometrics Canada Ltd, Multi-Health Systems Inc, EBW Global, or DiSC Profile Canada. Below is a comprehensive statement of our Privacy Policy, which we encourage you to read.
Privacy protection requirements form a code of fair information practices relating to the collection, use, disclosure, accuracy and protection of personal information in our custody. As well, there is a requirement to provide individuals with access to information about themselves and the means to correct or annotate such personal information. Individuals are entitled to privacy protection in all information systems under the custody and control of CareerWorks Consulting.
Please note that there is no completely secure method of transmitting information or storing data. While the characteristics of each method may vary, facsimile transmission, telephone calls, mail, and transmissions over the Internet, are all vulnerable, some more than others, to potential loss, interception, or misuse. CareerWorks Consulting cannot be held responsible for any such loss, interception or misuse prior to taking custody of personal information.

The following Privacy Policy sets out how we handle data, including how we collect, store and use personal data, and information on transfers to third parties. This version has been updated to reflect the strengthened rights of individuals under GDPR, to make it easier to understand and to provide more fairness and transparency to you by making additional information available.
1. Collection of Personal Data
CareerWorks Consulting and its assessment distributors are the sole owners of the information collected. Reasonable measures are taken to protect the security of all personal data collected, and our agreements with any third parties with whom we share Personal Information require similar protections. CareerWorks Consulting will release your information only when necessary to comply with a judicial proceeding, a court order or legal process served on our company, or by explicit written consent of the client.
Information data that we may collect include:
- Identity data (full name, mailing address, job related info)
- Contact data (email address, telephone numbers)
- Financial data (payment card details)
2. How, When and Storage of Data Information Collected
Information Forms and Registration
2.1 In order to take part in one of our assessment packages, workshops, coaching sessions, a client must complete an online Information Form. Data collected on the Information Form (such as name, email, program expectations, work info, etc.) is not stored in any manner and is strictly used to provide the client with the best learning practice possible to meet their needs.
Prepayment is required if a client decides to register for one of our assessment packages, workshops, coaching sessions or other programs. In order to complete the registration, the client must provide financial information (such as credit card number, expiration date). This information is solely used for billing purposes. If we have trouble processing a payment, the information is used to contact the client.
Paper-based Assessment Scoring
2.2 Paper-based assessments are scored either in-house at CareerWorks Consulting or sent to one of our assessment distributors for processing through their scoring department. Most tests are scanned and do not leave the premises. Data records related to individuals are stored on password-protected computers and backed-up on secure password protected in-house servers accessible only by the assessment distributors. Client reports are returned to the client. Assessment answer sheets are stored in a secure location by the assessment distributor for a period of 120 days, after which they are shredded before being recycled. Customers may also request to have their answer sheets returned to them. This data is not shared with any third party except with express written permission of the client.
CareerWorks Consulting and its distributors do not collect any information about the assessment taker except name and gender, which is required for scoring some assessments.
Online Assessment Scoring
2.3 CareerWorks Consulting is committed to ensuring that the practices supported by our assessment distributors protect the privacy and security of the information stored and/or transmitted. Our distributors employ state of the art technology that secures the information and prevents unauthorized access, use, or disclosure. They use advanced security systems, Transport Layer Security Standards encryption technology to protect the transmission of information on their websites.Servers are located at secure facilities in Canada.Due to the proprietary nature of scoring algorithms, some assessment data is sent to third-party publishers for the scoring and retrieval of results.
Assessments That Use Third Parties for Scoring and Data Retrieval
2.4. The only information that is transmitted to third parties for scoring and data retrieval is first name, last name, gender, and item responses. Personal identifiable information such as location, is not transmitted.
The following item responses for scoring and retrieval are reported to The Myers-Briggs Company, in the United States for the following assessments:
- CPI 260®
- Myers-Briggs Type Indicator®
- Strong Interest Inventory®
- Everything DiSC® Workplace Profile
- The Wonderlic assessment uses the third party, Wonderlic Inc., in the United States, for scoring and retrieval of results.
Assessments where the data is scored and stored only in Canada are:
- Career Interest Profiler
- Career Values Scale
- Work Personality Index®
- Emotional Quotient Inventory 2.0®
- Emotional Quotient Inventory: Youth Version
Assessments where the data is scored and stored only in the UK for 60 days are:
- Business Emotional Intelligence (EBW®)
Website Cookies
2.5 Our website does not require session cookies. A cookie is a piece of data stored on the user’s computer tied to information about the user.
Marketing Communications
2.6 In order to receive our marketing communications, a client must voluntarily consent to provide their contact information including their name and email by filling out a designated form of inquiry. The client has the option to opt-in to receive various marketing communication materials from CareerWorks Consulting. The user can also opt-out or change their preferences at any time, by either clicking the ‘unsubscribe’ link located on the bottom of our communications materials or by contacting info@careerworks.ca.
3. Third Party Contact
Service Providers
3.1 From time to time CareerWorks Consulting may engage certain third parties to perform functions and provide services to us, including, without limitation, customer relationship management, mailing, and business analytics. As of the effective date of this Privacy Policy, the current list of service providers to whom we disclose Personal Information is as follows:
- Canada Post Corporation (for shipping services)
- Purolator Inc. (for shipping services)
- Google (for email platform)
- STRIPE (for payment processing services)
These service providers only have access to Personal Information as necessary to fulfil its obligation to CareerWorks Consulting and is not permitted to use Personal Information for any purposes other than those directed by CareerWorks Consulting and is required to act in a manner consistent with the privacy principles articulated in this Privacy Policy and applicable law.
Credit Card Processing Companies and Financial Institutions
3.2 On our website, we use a credit card processing company, STRIPE, to bill clients for goods and services. Stripe has been audited by an independent PCI Qualified Security Assessor (QSA) and is certified as a PCI Level 1 Service Provider. This is the most stringent level of certification available in the payments industry.
4. Personal Data Disclosure
CareerWorks Consulting does not sell, trade, rent or otherwise give to any other entity or organization the individual information our clients submit when registering for one of our services. We do however provide our clients, under the direction of a consultant, counsellor or coach, with individual information to properly ensure that they receive appropriate counsel or advise.
We do use outside shipping companies for mailing purposes, and a credit card processing company to bill you for goods and services. Similarly, from time to time CareerWorks Consulting uses third party vendors to assist in the mailing of its marketing materials. These companies do not use personally identifiable information for any other purposes.
CareerWorks Consulting may release information when we believe, in good faith, that such release is reasonably necessary to (i) comply with law; or (ii) enforce or apply the terms of any of our user agreements.
5. A Client’s Rights
We respect your rights as a client. And we provide you with the rights described below.
Right of Access
5.1 You have the right to obtain confirmation as to whether or not your Personal Information is being processed. If your Personal Information is being processed, you have the right to access your Personal Information and the following information: (a) the purposes of the processing; (b) the categories of Personal Information concerned; (c) to whom your Personal Information has been or will be disclosed (including international organizations in other countries); (d) where possible, the period for which your Personal Information will be stored or the criteria used to determine that period; (e) the existence of your right to request that your Personal Information be erased, or restricted from processing, or to object to processing of your Personal Information; (f) the source of your Personal Information (if it was not obtained from you directly); and (g) the existence of any automated decision-making (including profiling) along with meaningful information about the logic of such automated decision-making and its consequences.

Though CareerWorks Consulting makes every effort to preserve client privacy, we may need to disclose personal information when required by law wherein we have a good-faith belief that such action is necessary to comply with a current judicial proceeding, a court order or legal process served on our company.
